Auditorium Use Policy

As part of its program of service to the community, the library provides a meeting room space for groups in accordance with Article VI of the Library Bill of Rights.

The following standards and guidelines apply for the use of the meeting area:

  • Priority for use of the facility is given to library sponsored programs.
  • The auditorium is open to non-religious, apolitical groups and organizations whose purposes are considered to be consistent with the general objectives and goals of the library. 
  • No fee is charged for the use of the facility; however, donations are gladly accepted.
  • All meetings must be open to the public and the media.
  • No group may conduct business or money making activities while using the facilities. Meetings promoting sales may not be held; advertising products for sale is also prohibited.
  • Non-profit clubs and organizations may use the facility for fundraisers; however, the library must receive at least 20% of the sales. Final approval for use will be at the discretion of the director.
  • Meetings held exclusively as social activities (birthday parties, anniversaries, showers, etc.) are prohibited. 
  • Meetings by private employers may be held if it is for the purpose of staff training or employment testing.
  • Any group consisting mainly of persons under eighteen years of age must have an adult in supervision at all times during the meeting (one adult per every 10 children). An adult must be the contact person responsible for the use of the facility. The contact adult may not leave the premises until all other attendees have departed even if the library itself is open.
  • All people attending the meeting must enter and exit through the front door. The rear door may be used for loading and unloading, but prior arrangements must be made with library staff.
  • Groups scheduling non-regular meetings will be served on a first come, first serve basis.
  • No tobacco products, alcoholic beverages, or gambling are permitted in the auditorium.
  • It is the user’s responsibility to make sure that the auditorium is left in a clean and orderly condition. Lights and equipment should be turned off,  trash should be bagged in the kitchen, and furniture should be returned to its original position.
  • The library accepts no liability or responsibility for any damage to persons or property arising from use of the facility.
  • Groups or organizations using the facility must assume responsibility for any damage to either the room or its contents. 
  • All meetings should adhere to the George Coon Public Library Code of Conduct.
  • Food and drink may be served in the auditorium, but groups will provide their own utensils. There is a coffee maker in the kitchen that can be used.
  • In the case of inclement weather or other unforeseen circumstances that result in library closure or altered hours, cancellation of meetings will occur. It is the responsibility of the contact person to notify those attending of cancellations. The library will attempt to notify you of a closure.
  • The library does not endorse the views expressed by any group using the auditorium. Except as a designation of location, the name of the library may not be used in any publicity. 
  • Each group or organization must call in advance and check on the availability of the auditorium before booking the facility. A contact person will reserve the room with the name and phone number given. For meetings held outside of regular library hours, arrangements will need to be made with library staff. 
  • Any group in violation of the above regulations may lose their right to future use of the facility. The director has the right to terminate use if library guidelines are not followed. Appeals concerning use of the auditorium may be made in writing and will be reviewed by the library trustees and the director.
